Check engine!

One of us was driving down the road recently when we noticed the little “check engine” light had suddenly illuminated on the dashboard.

Don’t you just hate that?

Do you know what it means when that light goes on?

Neither did we.

A call to the dealership did not seem to help much either. There must have been a new employee answering the phone. Because it wasn’t an extremely difficult question that we asked.

The convo went something like this:

Brother: Hello, this is one of The Madow Brothers calling. I noticed that my check engine light just came on. I have a really busy schedule and I am not sure what to do. Do you have any idea what it means? Is it safe to drive my car?

Car person: No way to tell. It could mean that something just needs to be looked at or it could mean that something is really f*cked up. Can you bring it in? (Yes, he really used the ‘F’ word)

Brother: I don’t know when I can get it in. I am leaving in the morning to speak to a group of dentists. I won’t be back until Sunday. What do you think is going to happen?

Car person: Like I said, no way to tell. You got to bring your car over here.

Let’s talk about this one. First of all, it sure doesn’t sound like that the person who answered the phone was a graduate of the esteemed “Appointment College.” He was of no help. Now we’re not car experts or anything, but don’t you think he could have mentioned that we could drop the car off and use the night time drop box? All car places have them!

But more importantly, there was absolutely no warning leading up to the “check engine” light illuminating. Wouldn’t it be really cool if there was a light or a warning system that let us know we were getting close to a “check engine emergency?”

But there was nothing.  No warning. It just happened.

Then we started thinking. (Because our minds always wander!)

There is no “check engine” light in dental practices either. No warning light.

Nothing!

What does this mean? It means that things could be getting really messed up and you have no idea. You get no warning when the “engine” of your practice is overheating!   Well, maybe your warning is that you can no longer pay bills or meet payroll. But it’s too late at that point, right?

But believe it or not, you do have something that is similar to a check engine light in your practice. It’s called a profit and loss statement. And if you have a good accountant, you should receive a detailed one every quarter.

Do you ever look at it? Our guess is you have taken a quick glance every now and then.

Our advice for the day is to totally understand your profit and loss statement. There is actually a TON of useful information there that will let you know how your practice is doing. Once you understand what all the geeky accounting stuff means, you are very likely to avert a disaster from ever occurring.

So get together with your accountant. Don’t do it now… wait until tax season is over. He or she is crazy busy right now. But sometime after April 18 (yes, we get three free days this year), set up a meeting and ask your CPA to explain everything. You will actually be amazed at what information can be gleaned from this quarterly report!

Remember – there is no “check engine” light that illuminates when things start getting whacked out in your practice. Maybe one day but no one has invented that yet.

So in the meantime perhaps the profit and loss statement is the next best thing. Take advantage of this piece of equipment! It really could save your practice and perhaps your life!

This Dental Practice Is Transforming Lives

A short time ago we received a Facebook message from Becky Kaiser with Discount Dental Services in Denver. Hearing a message like this makes it all worthwhile. We felt we had to share this with you! Please enjoy.

I wanted to tell you a little something about the new office Dr. Nack started last April. I love the concept and want to know what you think.
 
Dr. Nack had a ‘very’ successful practice in Parker, CO for many many years. I was his office manager. My daughter his EDDA. In 2010, Dr. Nack retired as the ripe old age of 53. I retired as well, but was much older! He and I remained friends. After a few years of missing our ‘calling’ we decided to open a low cost dental office. Dentistry had been good to us, now it was our time to pay it forward!!
 
The challenge we faced was how could we do this with little cash to start a dental office? Dr. Nack spread the word. Soon, he found other offices willing to donate things to him, including chairs, a Pano, x-ray machine, sterilization machines, etc. He was able to find a low cost office across the hall from a doctor who feels the same about medical as we do about dental.
 
BUT, Dr. Nack wondered, how do you pay a staff when you are 95% Medicaid? He brainstormed and prayed on it. Eventually it happened. EVERY person working in our office is paid a small percentage from collections! Not production, which isn’t much! We are NOT employees, we are ALL independent contractors, working at the office because this is where we WANT to be. It definitely is not for the small pay check! We come in and work our own days and hours. No one has a set schedule, except Dr. Nack, who is there from 9:00 a.m. to 7 p.m.
 
You would think he wouldn’t have many “independent contractors” willing to do this, working for cents on the dollar, rather than a salary! I thought the same thing at first. When the word got around, we had more people than I ever dreamed who wanted to come and be part of “our team.” Dr. Nack makes it SO fun and rewarding, that people just WANT to be there.
 
I am proud of what Dr. Nack has done. I have seen him take former drug addicts with “meth mouth” who always had a constant reminder of their past every time they smiled, and has given them a new smile and a whole new outlook on life and their future. These people come in with broken spirits. Dr. Nack helps to convert them into functioning, happy, and productive individuals.
 
I just wanted to let you know that in these times of greed that there are still many great dentists who genuinely care. It’s so much fun to watch people transform their lives in just the little bit we do for them. I wanted to share our story with you, because you both were part of Dr. Nack’s inspiration. Your “Other” Team

We all know that having a fantastic, dedicated team is an essential component in every successful dental practice. We have seen many above-average dentists have wildly successful practices because they were able to cultivate a great staff. Conversely, we have also seen some truly superior practitioners struggling because of back-stabbing dysfunctional teams. If you need advice in any of these areas, give us a shout. But mostly, begin the process now of reviewing the members of your “other team” and making any necessary changes before it is too late. This is a lesson that you don’t want to learn the hard way!!

Are You Part Of The Forty Percent?

Our good friend Fred Joyal, co-founder of 1-800-DENTIST and one of the marketing geniuses behind Patient Activator, recently told us that amazingly forty percent of telephone calls placed to dental practices during normal business hours go unanswered.

Being the skeptics that we are, we immediately got on the phone and started randomly calling practices. Well “Guess” what? He was right!

During normal business hours either no one answered or we got an answering machine. The typical messages?

“If you are hearing this message during normal hours it means that we are busy treating other patients blah, blah, blah…..”

Let’s run that one through the patient translator and see what it says. Okay – here it is:

“Gee, this practice is way too busy to see me; guess I’ll call someone else!”

Here’s another common one:

“We are currently at lunch and will return at 1:30 PM.”

Different message, same patient reaction.

How many times have we heard the old adage that our dental practice is a business? And what business would not have their phones answered during normal business hours, particularly during the lunch hour when working people have time to make personal calls? It just doesn’t make sense.

So whether it means forwarding the office line to a cell phone if everyone vacates the office during lunch, paying someone to “babysit” the office on a day that you are closed, or hiring an extra team member if you seem to constantly be short-handed, do whatever it takes to make sure the phone is answered!

This one tip should increase both your new patients numbers and your production significantly, and will be worth every penny it takes to pay for the extra team coverage times ten! Oh – that is unless whoever is answering the phone is not properly trained in how to do so. But that’s a topic for a different day!
